Vice President

This position is a two-year commitment. One-year Vice Presidential term with the intention for automatic succession for Presidency in the following year. The Vice President assists the President in managing current priorities and objectives. They also provide oversight for parent engagement.

He/she organizes, coordinates, and manages the recruitment of volunteers. He/she also maintains updated records on all volunteers and attends the Executive Committee meetings and the Parents of the Heart monthly meetings.

When he/she is President, he/she will attend and preside over monthly POTH meetings during the school year, plan topics featured in meetings, conduct monthly Executive Committee meetings prior to POTH meetings to review committee reports, finalize the POTH agenda, and serve on the Development Committee. Additionally, the POTH President will work in conjunction with the Development Office to appoint committees and will work with appointed Committee Chairs to achieve the stated goals of POTH. Committees include Equity and Inclusion, Room Parent, Quiz Night/L’Esprit, Fine Arts, Annual Fund, Athletics, Community Service, plus the Vice President, and Secretary. He/she will also attend key school events to build awareness and support for POTH - Admissions Coffees, New Parent Orientation, Encore Event for accepted students, Equity and Inclusion events, etc. He/she will also support Parent Education events, provide an introduction letter at the end of August to all transfer and new kindergarten families.

Secretary

This position is a one-year commitment. The Secretary attends and records monthly minutes for the Parents of the Heart Executive Committee and Parents of the Heart meetings, maintain records of attendance for both aforementioned meetings, submit recorded minutes to the President and the school liaison (Fiona Royer) by the Monday following the meeting for distribution via the school website.

Equity and Inclusion Council Chair, Co-Chair and Committee Members

Term: Serves one year as the Chair. The Co-Chair serves one year with the Chair to learn the position and then assumes the Chair role during the second year. The Committee members serve for two years.

Availability: Varies throughout the year. Key dates include International Night and Justice Night.

Duties: The Chair and Co-Chair work together as a team. The time as Co-Chair is to learn the activities and deliverables of the committee in preparation for assuming the Chair role. The Co-Chair, with the Chair, leads the broader strategic view of the committee, assists with delegating the leading, organizing, and delivering of events, and represents the Equity & Inclusion Council in POTH Executive meetings and in meetings with the Schools’ leadership. You also gather support across faculty and administration for events and initiatives and identify and recruit new leadership for other positions.

FALL GATHERING (September, 2022)

Term: one year

Availability: Event date and a few planning meetings

Duties: Select and arrange food trucks, select and arrange for alcohol, determine and obtain decorations, arrange for volunteers, set up and clean up.

FACULTY/STAFF APPRECIATION BREAKFAST & DINNER (December, 2022)

Term:two years

Required Availability: Requires multiple planning meetings.

Duties: Plan and obtain the food, décor and gifts for this event.

CHRISTMAS LUNCHEON (December, 2022)

Term: one year

Number of Co-Chairs: two

Availability: Date of lunch and usually requires one or two planning meetings.

Duties: Explore possible venues, select venue, arrange contract, and determine menu.

L'Esprit Co-Chairs (March 4, 2023)

Term: one year

Availability: March 4, along with occasional planning meetings at the beginning of the school year, which become more frequent meetings starting in the Fall. Duties are completed about two weeks after the event.

Duties: L'Esprit will be held at an event venue. Recruits members to serve on various committees (Raffle, Sign-up Parties, Teacher Treats, Décor and Seating) and is responsible for utilizing contacts and reaching out the parent committee to put together the Live Auction. Is also responsible for planning and executing the event, along with various other planning-related responsibilities. L'Esprit Co-Chairs attend monthly POTH Executive meetings and POTH meetings.

END-OF-YEAR LUNCHEON (May, 2022)

Annual Fund

Term: Two year

Number of Chairpersons: Two

Duties: Support the Annual Fund Chairs and Co-Chairs to educate and promote the fundraising initiative to the community. Work in tandem with the Development Office to reach the budgeted monetary goal and participation goal.

BOUTIQUE

Term: at least one year

Duties: Assist with choosing new Sacred Heart items to offer and with the sourcing of items.

Duties: Ensures that recipient is appropriately recognized.Exact duties depend on award recipient, but usually include putting together write up about the organization or individual, coordinating joint activities with (such as participation in Justice Evening), etc.

SOPHIE’S NET

Duties: Works with Christy Crandall to arrange for a supply of meals. Assists in recruiting parents to make meals – either fresh or frozen – as needed. Usually, cooks/donates a few meals.

Community Service Chairs

Term: Two year

Number of Co-Chairs: Two

Duties: There are two different roles: service day driving coordinator and school charity drive/event coordinator.

The service day driving coordinator(s) will work closely with Paz Salas and schedule drivers for each day of service and prepare schedules for all parent drivers to various service locations. He/she will attend each service date to help Paz coordinate the pickup of the students and may drive about 75% of the time, when short of parent volunteers. He/she also ensures that school obtains required documentation (signed waiver, copy of driver's license, copy of current car insurance card) for all parent drivers. He/she also sends email reminders the week before service date to parent drivers and a thank you after parents drive.

The school charity drive/event person will map out various drives throughout the school year, such as toiletries, food, shoes, coats, etc., and assign each drive to a grade and solicit volunteers for collection of goods and the transporting of goods to the community partner.

Represents the Community Service Committee at the Executive Committee meetings and the Parents of the Heart Meetings monthly.

Howard Area

Term: Two years

Number of Co-Chairs: Three

Availability: Busiest time is October to Christmas

Duties: Howard Area requires availability from the end of October through Christmas. It is important not to be on a long Thanksgiving trip or early Christmas trip. For Howard Area, he/she will work closely with Paz to identify Howard Area’s needs and coordinate faculty/classrooms, manage the tracking and collection of items, and may need to procure any missing items. Most work is conducted on campus and sometimes in the classrooms.
